Identify which policy actually applies
GSA establishes these per diem rates for federal employees on official travel. A contractor’s travel arrangement may refer to them, but the controlling requirements depend on the contract and the employer’s travel rules. GSA directs contractor questions to the contracting officer and the company’s policy.
Before entering a rate in an expense system, identify whether the arrangement reimburses actual costs, uses a daily allowance, imposes a separate cap or requires approval before booking. Those choices affect the calculation.
Use the directory as documented input
Record the destination, the locality definition, the fiscal year and the dates alongside any amount you copy. A bare “per diem $181” entry omits whether it means a room plus a full meal day, a reduced travel day or an employer-specific allowance.
The site’s trip calculator follows the ordinary federal meal method and a nightly lodging ceiling. It does not infer a company policy from an employer name, a job title or the presence of a government contract.
Do not turn a rate lookup into a tax conclusion
A GSA rate alone does not determine whether a payment is taxable, whether a trip qualifies as business travel or what a self-employed person can deduct. Those are separate questions with additional facts and rules.
For this reason, our exports identify the figures as planning inputs and do not label them tax-free earnings, take-home pay or approved reimbursements. Use the relevant tax authority and a qualified adviser for those decisions.
